Personal & Administrative Assistant

A note before you read on

You're not finding this by accident — this isn't posted publicly anywhere. I'm sending it directly to a short list of people I think could genuinely be the right fit. No rush; take your time with it.

Hi, I'm Victoria — owner and general manager of Bread and Butter. I'm looking for a Personal & Administrative Assistant to work directly with me: someone organized, self-motivated, and genuinely good at taking things off my plate and getting them done.

About Bread & Butter

I started Bread and Butter in 2016 as an artisan sourdough bakery here in Chattanooga with my partner Alex. Almost a decade later, we're a tight team of about 15, built on craftsmanship, continuous improvement, and community — and we're still growing. I care about doing things well, not just fast, and I look for that in the people I work with too.

About the role

This is a flexible, behind-the-scenes role supporting me directly — not the bakery floor, not a team, me. Your job is to take administrative and personal tasks off my plate: managing my inboxes and calendar, moving projects forward, handling paperwork and legwork, and making sure things don't fall through the cracks, so I can stay focused on leading the business.

Because I'm not in the building every day — some days I'm working from home or remotely while the team holds down the bakery — you'll often be the buffer between me and the team, managing the messages and information that flow between us so the right things reach me, and the right things reach them, even when I'm not on-site.

I'll be honest about what this role involves, because I'd rather you know now than find out three months in: we run a bakery that's open seven days a week, and the realities of that — a big pre-order, a seasonal menu change, something going sideways with a vendor — mean things come up, sometimes with little notice. I'm not expecting you to be on call around the clock, but I am looking for someone who can roll with the occasional curveball without it throwing off the rest of the work. If you do your best work only when everything is fully predictable and mapped out in advance, this probably isn't the right fit. If you're steady under a little unpredictability and like figuring out what needs doing in the moment, it might be exactly right.

This is a support role, not a management one — you won't be overseeing staff, but you'll be an essential partner in keeping me organized and my priorities moving. It starts part-time, but for someone who's great at the job and keeps finding ways to add value, there's real room to grow into full-time — and to grow with the business.

What you'll do

  • Manage my inboxes — monitor several email accounts, surface what needs my attention, draft replies, and handle routine messages

  • Prioritize and keep things moving — own the project and task list (in Notion), break work into next steps, follow up, and keep everything on track

  • Manage my calendar — keep my schedule organized and protect time for what matters

  • Handle administrative legwork — process invoices and paperwork, support ordering and inventory, coordinate with vendors and contractors, and help implement systems

  • Support projects start to finish — take ideas and run with them, working alongside me to push tasks across the finish line

  • Help with personal and life admin — errands, scheduling, and coordination

  • Pitch in where needed — in a small business everyone helps out, so occasional backup in other areas (like wholesale deliveries) comes with the territory

Who you are

  • Self-motivated — you take ownership and follow through without being chased

  • A strong prioritizer — you're comfortable deciding what matters, managing your own workload, and keeping someone else on track

  • Organized and detail-oriented — you naturally close loops and don't let things slip

  • Tech-savvy — comfortable in Google Workspace (Gmail, Calendar, Docs, Sheets) and Notion, or a quick learner

  • Discreet and trustworthy — you'll handle my inbox, calendar, and personal details with integrity

  • Comfortable with ambiguity — the role flexes day to day, and you roll with it

  • A clear, steady communicator

Nice to have: prior experience as a personal assistant, executive assistant, administrative coordinator, or in operations support; experience with project management; familiarity with small business or food/retail environments.

Location: Chattanooga, TN (in-person)
Schedule: Part-time to start (~20–25 hrs/week), with a clear path to full-time for the right person
Pay: Starting at $20/hour, with the exact starting rate depending on your experience coming in

To apply

I'm being intentional about this hire — it's an investment in me and in the business, and I want to get it right as much as you do. Fill out the form below and include your resume. The questions are short and open-ended on purpose; there's no perfect answer, I just want a real sense of how you think and work. I read every response myself, and I'll follow up directly with next steps — no need to check in before then.
